1. What this policy covers

This policy explains how Private World Studio handles personal information submitted through the website, during consultation, and when a private commission proceeds.

2. Information we collect

• Contact details such as your name, email address and location.
• The creative direction you submit in a consultation brief.
• Whether you identify a request as involving artistic nudity or erotic / sexually suggestive material.
• A minimal compliance record, such as submission reference, date and time, declaration status, and the versions of the policies accepted.
• Project communications, approved references and delivery information if a commission proceeds.
• Basic technical and security information processed by website infrastructure when you connect to the service.

3. Why we use it

We use enquiry information to assess your request, contact you, prepare a proposal, prevent abuse, document required consent and policy declarations, administer an agreed commission, resolve disputes and meet legal obligations. No payment is required to submit the consultation brief.

4. Enquiry form and email delivery

The consultation form is designed to transmit your brief securely to a server endpoint. The endpoint validates the request and sends the brief to the studio through Zoho ZeptoMail. The form service is designed not to keep a separate database copy of the creative brief after delivery. Minimal operational logs and the resulting emails may remain for security, troubleshooting, compliance and appropriate business records.

5. Service providers

Website traffic and the consultation endpoint may be processed by Cloudflare for delivery and security. Enquiry emails are processed by Zoho ZeptoMail. If a commission proceeds, additional digital production, cloud processing and post-production providers may be required. Personal references are not requested through the public brief; the relevant handling will be explained before such material is provided.

6. Personal likeness and sensitive material

Do not submit intimate reference material or photographs of an identifiable third party through the public consultation form. If a commission involves your own likeness, any reference-sharing and age/identity verification process is agreed after consultation. Private World Studio may refuse or delete material outside its Content & Likeness Policy.

7. Compliance declarations

When you submit a consultation, the studio records whether the required declarations were accepted and which policy versions applied. This helps demonstrate what the client was told and agreed at the time of the request. Private World Studio aims to keep this record minimal and does not collect identity documents through the public consultation form.

7A. Age assurance and identity checks

For some sensitive commissions, Private World Studio may use a specialist third-party provider to confirm that a client meets the required age threshold and, where necessary, that a supplied self-likeness belongs to the verified client. The preferred design is data minimisation: the verification provider handles the identity document or live selfie and the studio receives only the minimum result needed to make the commission decision, such as a threshold result, verification method, timestamp and reference.

Clients should not send identity documents or intimate reference material through the public consultation form. A separate just-in-time privacy notice will be provided before any higher-assurance verification or sensitive upload process is used.

8. Disclosure and publication

Private commission material is not published as portfolio work without separate, explicit permission. We may disclose information where reasonably necessary to service providers involved in delivery, where required by law, or to protect the studio and others from fraud, abuse or unlawful activity.

9. International processing

Some infrastructure, verification or production providers may process or receive personal information outside the country where you live. Where Australian Privacy Principle requirements apply, Private World Studio will take reasonable steps appropriate to the circumstances before disclosing personal information overseas and will identify likely recipient countries or regions in this policy, a linked provider list or a just-in-time notice once the final provider stack is established.

Where personal references are required for production, the studio will aim to limit what is shared to what is necessary for the agreed work and choose settings and providers with confidentiality in mind.

10. Retention and deletion

Private World Studio uses different retention periods for different records rather than keeping everything indefinitely. Enquiries that do not become commissions are normally removed from active enquiry records after 90 days unless they are needed for a legal, safety, fraud or dispute reason. Identity documents should not be retained by the studio where a verification provider can return a threshold result instead.

Intimate or sensitive working references are intended to be removed from active production storage within 30 days after final delivery unless the client has expressly chosen continuity storage for future chapters, a dispute is open, or a longer period is reasonably required by law. Contract, payment, accounting and minimal compliance records may be retained for the period required by applicable law or reasonably necessary to establish the transaction.

11. Your choices and contact

You may ask what personal information the studio holds about you, request correction, or ask for deletion where the law permits. You may also withdraw optional permission to use commissioned work in a portfolio for future publication. Contact hello@privateworldstudio.com.
